Position Description

TITLE: FINANCE & ACCOUNTING MANAGER

Status: Full-time – 40 Hours per week
Summary: The Finance & Accounting Manager will be an integral part of the Community
Foundation of Northeast Alabama.

I. Job Relations:
Reports To: Chief Financial Officer
Direct Reports: None
Frequent contact with other staff members, trustees, volunteers, donors, not-for-profit
agencies staff, and the general public.

II. Responsibilities:
A. Assist with budget planning and budget forecasting and evaluation.
B. Manage and perform gift process.
C. Process vendor payments and check requests.
D. Reconcile credit card accounts.
E. Assist in reconciling all balance sheet and income statement accounts.
F. Assist in preparing year-end reports for audit and tax returns.
G. Reconcile bank accounts and general ledger accounts as assigned.
H. Ensure operational compliance with policies and procedures.
I. Produce reports and presentations requested by CFO
J. Prepare minutes for committee meetings.
K. Reconcile and record monthly investment activity.
L. Assist in analyzing investment data and reports.
M. Develop proficiency in the software database used at the Foundation to maintain
and provide dependable data.
N. Create and maintain procedures to ensure accuracy and consistency of data.
O. Prepare and modify documents as requested.
P. Assist with special projects as needed.
Q. Assist with various functions for the Community Foundation, including
communication (email, phone, text, face-to-face, and written) with donors, fund-
holders, scholarship and grantee recipients, charitable agencies, volunteers, and
professional advisors.
R. Serve as the back-up receptionist as requested.
S. Perform basic office management duties as requested.
T. Maintain confidentiality of Community Foundation affairs in communications, both
written and oral, and assure such through appropriate filing and disposal of
materials.
U. Assist in the accurate and timely filing, retrieving, organizing and maintaining of
Community Foundation records.

Meeting and Events: Periodically, the Community Foundation hosts a variety of events
including: seminars, workshops, trainings, volunteer events, annual board dinner, board
meetings, public meetings, and other activities. The Finance & Accounting Manager shall
participate with other staff in the execution of these events as directed.

III. Qualifications:
A. Education: Bachelor’s degree in Accounting, Finance or related field required.
B. Experience:
 Prior administrative experience is preferred.
 Prior accounting experience is preferred.
 Prior experience with customer relations, boards and stakeholders is preferred.
 Software experience and proficiency in the following is required: Microsoft Excel,
Word, PowerPoint, Adobe Acrobat, Internet Explorer (or other internet access
software), Outlook (or other email software).
C. Special Qualifications and Knowledge:
 Must be skilled in human relations with the ability to deal with a variety of
people in a pleasant, professional manner. Must be able to exercise tact,
patience, discretion, and confidentiality in communications.
 Must be able to organize materials, files and data, coordinate and manage many
activities concurrently with an attention to detail.
 Must possess outstanding problem-solving skills and communicate effectively
orally and in writing at all levels.
 Must be a self-starter and able to work with little supervision, and show
creativity and innovation in areas of responsibility.
 Must reflect professionalism, pride, loyalty, consideration, respect, and a team
spirit.
 Must possess excellent time management skills to successfully manage event
deadlines and technology needs.
 Must demonstrate courtesy, presence, initiative, judgment, and concern for
personal appearance and affect.
 Must be flexible and adaptable in order to meet the demands and priorities of
the Foundation.
 Must demonstrate integrity in maintaining confidentiality of files and
communications of the Community Foundation, as well as the handling and
security of funds.

IV. Physical Demands and Working Conditions: A work space is provided with the necessary
resources and equipment. Physical activities involve walking in the office, keyboard and
computer use, travel to meetings and business-related activities, reading, filing,
bending, some heavy lifting, and moving of equipment before, during and after
meetings. Must be able to travel by car and air and possess a valid driver’s license.

V. Hours of Work: The position is full-time 40 hours per week in the Foundation’s office.
Normal work hours are 8:00 am until 5:00 pm, Monday through Friday. The Finance &
Accounting Manager is occasionally required to work varied hours, evenings or
weekends to accommodate committee, board or other Foundation needs.
